How do I unpublish a Webflow CMS item?
Unpublish removes a live Collection item immediately. Archive, save as draft, and delete wait for the next full site publish.
Open a published Collection item and choose Unpublish. Webflow removes it from the live site immediately and sets the status to Draft. Archive and Save as draft leave it live until the next full site publish. Delete removes it from the CMS, and the live copy can remain until that publish. Edits on a live item stay in draft until you publish them.
Take a live item down immediately
Collection items are the records in a Collection: one blog post, one author, one event. Each item that has a Collection page template gets a URL. Taking the item off the site is a status change, not a design change.
Open the item from the CMS panel. From the publish options on a published item, choose Unpublish. Webflow removes it from the live site immediately and sets the status back to Draft. In bulk edit, Unpublish does the same, and it also clears the original publish date.
Use this when the URL should stop serving the item now. A post you pulled for a correction, a job that closed today, or a draft you published by mistake all fit. Open the public URL after you unpublish and confirm the item is gone before you tell anyone it is down.
Unpublish is different from scheduling. Schedule is only for an item that has never been published, and a site-wide publish will not release a scheduled item early. Once an item has been live, you manage it with publish, queue, unpublish, and archive instead.
Archive and draft wait for the next full publish
The other statuses look like takedowns and are not instant.
- Unpublish removes the item from the live site now and sets it to Draft.
- Save as draft, from bulk edit, keeps the item live until the next full site publish, then unpublishes it.
- Archive keeps a live item up until the next full site publish, then removes it. The item stays in the CMS and can be unarchived. If the item was queued or scheduled, archive cancels that publishing.
- Delete removes the item from the Collection, and the live copy remains until the next full site publish.
- Queue to publish sends the item out with the next full site publish. It does not take anything down.
- Remove from queue returns an unpublished item to Draft, or a live item to Changes in draft.
For example: the March office hours post should disappear this afternoon, and you are not ready to publish the whole site. Unpublish is the action that matches that. Archive would leave March office hours on the live URL until the next full publish, which might be days away.
If several items should come down together, use Select in the CMS panel, check the rows, and choose Update items, then Unpublish. The CMS table shows up to 100 items at a time. Move to the next page of the table and keep selecting if the Collection is longer. Shift-click selects a range.
Edits to a live item stay in draft
Webflow saves as you edit. There is no separate Save button on an existing item. Those edits are draft changes. The live page keeps the previous published version until you choose Publish now, or queue the item and publish the site.
Publish now updates that item without waiting for a full site publish. Queue for next site publish holds the change until you publish the whole site. A site publish by itself does not push draft items or draft edits. That is what lets you revise a post without the half-finished copy going live when someone publishes a layout tweak.
Publishing or updating an item also publishes and updates items referenced in its reference and multi-reference fields. If the post points at an author record you were still editing, publishing the post publishes that author too. Check those linked items before you press Publish now.
On the canvas, edit the purple dynamic fields if you mean to change one item. Editing static text on the template changes every item that uses it. Conditional visibility is the tool for showing or hiding a static block on some items only.
When unpublish is blocked
Publishing and unpublishing stop when the site's domains have different publish times, and after the site is restored from a backup. Webflow unblocks them with a full site publish, which lines the publish dates up across the connected domains.
If Unpublish does nothing or is unavailable, publish the full site once, then open the item and unpublish again. Do that only when you are willing for queued work to go out with that full publish. Drafts stay back. Queued items do not.
Confirm the public URL, then decide if the path needs a new home
After Unpublish, load the item's URL on the live domain, outside the Designer. Then check a Collection list that used to include it, such as the blog index. The item is off the live site, so that list should no longer show it. If it still appears, confirm the status is Draft and that you are viewing the domain you expect.
Archive and delete need a different check: the item should still be on the live URL until the full site publish, and gone after it. If you needed it gone before that publish, you used the wrong action. Unpublish it if it is still in the CMS.
The item record remains after Unpublish, in Draft, so you can fix it and publish again later. Delete is the action that removes the record, and even then the live copy lingers until a full site publish. Prefer Unpublish when you might put the piece back.
If this takedown is one of several content changes, send the item name, the URL, and whether it should come down now or at the next publish. I can do that from a written request. The membership is one plan for every existing Webflow site: $999 per month, including 10 hours of Webflow work. Your Webflow subscription and hosting stay in your own account.
Questions & answers
I clicked Archive. Why is the post still live?
Archive removes a live item on the next full site publish, not immediately. Choose Unpublish when the item has to leave the live site now.
Does deleting an item take the URL down now?
No. Delete removes the item from the Collection, and Webflow says it remains live until the next full site publish.
Will a site publish send my drafts live?
No. Draft items and draft changes are not published automatically with the site. Queue the item or choose Publish now when the copy is ready.
Why is Unpublish unavailable?
Publishing and unpublishing are blocked when connected domains have different publish times, or after a backup restore. Publish the full site once to sync those dates, then try again.
